About the Job
We are seeking a highly organized and detail-oriented People & Culture Executive to join our team. The ideal candidate will be responsible for providing administrative support across various departments, with a focus on ticketing, hotel reservations, HRIS updates, and documentation management. This role requires multitasking abilities, strong communication skills, and a proactive approach to problem-solving.
Your main duties will include:
- Organize and maintain electronic documents, including contracts, agreements, and other important records.
- Develop strong relations with employees with an approachable attitude, but maintaining assertiveness when the situation demands it.
- Office management and set up at the Beirut office in Beirut Digital District through tracking invoices and receipts.
- Employee Insurances follow ups for the teams based in Lebanon, Saudi Arabia, UAE, and the remote teams.
- Team expenses follow-up, and processing.
- Assist and enable new joiners by requesting documents, following up on insurance applications, laptop delivery, relocation process, etc.
- Support on admin tasks.
Ticketing & Hotel reservation:
- Coordinate travel arrangements and itineraries, including booking flights, hotel reservations, and other logistics while ensuring timely communication with travelers.
- Issue tickets and follow-up with travel agents.
- Handle changes or cancellations to travel plans as needed.
- Update the ticket and hotel trackers promptly to ensure timely reporting.
- Ensure accommodation bookings align with travel itineraries.
- Coordinate with hotels to confirm reservations and handle any special requests.
- Validation of payment statement related to hotel reservation.
- Manage airport pickup and drop off when needed.
HRIS Updates:
- Assist in data management through HR Information System (SAP) by accurately updating employee records, including personal information, job titles, and contact details.
- Input new hires, terminations, and other employee changes into the HRIS database.

Qualifications
- Previous experience in ticketing, hotel reservations, HRIS updates, or documentation management is highly desirable.
- High school diploma or equivalent required; bachelor’s degree preferred.
- Proven experience as a People & Culture Assistant
- Knowledge of MS Office & HRIS systems.
- Admin assistance experience is a plus.
