Job title: Meetings and Events Consultant

Level: Associate

Reports to Meetings and Events Operations Lead

Location:Saudi Arabia

Position summary:

  • The Meetings and Events Consultant plays a pivotal role within the Operations team, overseeing all Meetings and Events bookings primarily in the KSA region, though they also need to be familiar with other ME regions. Oversee day-to-day venue sourcing operations, including:
  • Monitoring and managing inbox communications.
  • Consult with event planners early on to understand their objectives, preferences, and budget limits.
  • Ensure compliance with PwC policies from pre-approval to post-event processes. Negotiate with vendors/suppliers to secure cost-effective services without compromising quality.
  • Ensure compliance with PwC rules throughout pre-approval to post-event processes.
  • Handling contracting processes Notifying event planners about govt/hotel/event permits and important deadlines.
  • Assisting with event logistics, arranging site visits, and rooming lists if needed. Facilitating vendor management, LPOs, and vendor registration.
  • Managing invoicing and reporting to finance. Ensuring timely submission of documentation throughout the sourcing process as required.
  • Ensure adherence to SLAs and provide coverage when necessary.
  • Provide expert advice on event concepts, themes, and logistics, ensuring seamless execution and adherence to SLAs, maximizing value, and optimizing budgets.
  • Stay current on market trends, initiatives, promotions, and sustainability programs and ensure claiming rewards points.
  • Primary duties and responsibilities
  • Financial Drive cost efficiencies in Meetings and Events processes.
  • Track and report savings made within the Meetings and Events team.
  • Obtain revised LPOs and event planner approval to ensure TAX-compliant invoices before processing payments.
  • Ensures meeting and event payments adhere to SLAs, contain a tax-compliant invoice, and are billed to the appropriate PwC legal entities.
  • Collaborate with Meetings & Event Operations Lead and Travel Operations Lead to optimize operations and reduce costs.
  • Customer Coordinate and deliver all aspects of Meetings and Events, including venue bookings, as required on day-to-day basis and adherence to policies.
  • Responsible for providing a first-level response to queries and escalating difficult situations as required.
  • Guide PwC stakeholders through the venue sourcing process, ensuring compliance with internal policies and securing approval for exceptions.
  • Supports the development of policies and procedures and ensures they are followed by event organisers.
  • Demonstrates flexibility during peak seasons, such as yearly events like GPM, Consulting, LoS, Townhalls, and graduate induction.
  • Internal Process Optimize Meetings and Events spend, including venue pricing and recurrent event business.
  • Perform additional tasks as assigned by management.
  • Collaborate with Business Resilience team to conduct risk assessments for team-building activities.
  • Implements new or optimizes existing processes to enhance venue sourcing services.
  • Manages conflicts looks for solutions for PwC and venues/ supplier or escalating to the Meetings and Events Operations Lead when necessary.

Knowledge, skills, and abilities

Education: Bachelor’s Degree

Language: Fluency in English required, proficiency in Arabic is an advantage.

Overall Experience: 3+ years of overall experience

Specific Experience: Experience as a Meetings and Events Consultant or in a similar role

Knowledge and Skills:

  • Strong customer service orientation Excellent organization, attention to detail, time management, proactive approach and solution driven.
  • Effective verbal and written communication skills.
  • Proficient in computer skills and database management. Knowledge of technology such as Cvent or similar would be an added advantage.
